The Payments Association of Zambia (“PAYZ”, “we”, “us”, or “our”) operates the Agent Training Platform (the “Platform”). This Privacy Policy explains how we collect, use, store and protect your personal information when you use the Platform.

1. Information We Collect

When you register and use the Platform, we may collect the following categories of information:

Identity data: full name, phone number, National Registration Card (NRC) number and images of your NRC (front and back).
Contact data: phone number, optional email address, physical address and district/province where you operate.
Agent data: mobile money service providers you operate with and their corresponding agent codes.
Account data: hashed password, KYC status, training progress, course completions, quiz scores and certificates issued.
Device & usage data: IP address, device type, browser information and pages visited on the Platform.

2. How We Use Your Information

To create and administer your agent account and verify your identity (KYC).
To deliver training content, quizzes and issue certificates.
To share verified agent data with participating mobile money service providers listed in your profile, strictly for the purposes of agent accreditation and compliance.
To communicate with you about your training, platform updates and relevant compliance notices.
To prevent fraud, investigate suspected abuse and enforce our Terms & Conditions.
To comply with applicable laws and regulations, including those issued by the Bank of Zambia and ZICTA.

3. Legal Basis for Processing

We process your personal information under the following legal bases: performance of a contract (providing the Platform), your consent (submitting optional information), our legitimate interests (securing the Platform) and compliance with legal obligations applicable to financial services and agent networks in Zambia.

4. Sharing of Information

We only share your personal information with:

Mobile money service providers you have explicitly registered against (e.g., Airtel, MTN, Zamtel, Zed Mobile and other listed providers).
Regulators such as the Bank of Zambia and ZICTA, where legally required.
Trusted service providers who help us operate the Platform (hosting, cloud storage, analytics), under strict confidentiality obligations.

We never sell your personal information to third parties.

5. Data Security

We use industry-standard measures to protect your information, including encrypted transmission (HTTPS), encrypted storage for KYC documents, hashed passwords and role-based access controls. However, no method of electronic storage is 100% secure, and we cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active and for a reasonable period afterwards to comply with our legal, regulatory and operational obligations. KYC documents are retained in line with anti-money-laundering requirements.

7. Your Rights

You have the right to:

Access the personal information we hold about you.
Request correction of inaccurate or incomplete information.
Request deletion of your account, subject to our legal retention obligations.
Withdraw your consent for any optional processing.
Lodge a complaint with the relevant data protection authority in Zambia.

8. Fraud Reporting

If you encounter suspected fraud, scams or impersonation on a mobile money platform, please report it to ZICTA by dialling *707# from any mobile network in Zambia. This is a free service.

9. Children’s Privacy

The Platform is not intended for persons under the age of 18. We do not knowingly collect information from children.

10. Changes to this Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via the Platform or by email (where available). Continued use of the Platform after changes constitutes acceptance of the updated policy.
